We need to make sure we have enough seating and maybe setup some shade structures if it gets too hot. The catering company we used last year was pretty good so I would suggest going with them again. We should also prepare a backup plan in case of rain because the weather forecast is uncertain that time of year. The activities coordinator mentioned that the ropes course requires a minimum of 20 people to book so we definitely have enough interest. I also checked with the facilities team about the sound system and they confirmed we can borrow theirs. Parking might be a concern since the lot near the pavilion only holds about 25 cars. I checked the trail maps you sent over and the loop trail looks like the best option for our group. It is about six miles total with some moderate elevation gain but nothing too steep. We should plan for about four hours including a rest stop at the summit. The weather should be clear but cool in the morning so everyone needs to bring layers. There is a ranger station about halfway where we can refill water bottles. I reserved the group campsite for Saturday night and it has a fire pit and picnic tables. The cost is very reasonable at ten dollars per person. We need to decide on meal plans because some people have dietary restrictions. I suggested everyone bring their own lunch and we can do a shared dinner at the campsite.
